Terms & Conditions

Pedaltours Ltd shall not be held responsible for any damage, expense or inconvenience caused by late arrival of public transport, change of schedule, strikes, vehicle breakdown, Acts of God, or other conditions. The right is reserved to alter the itinerary should it be deemed necessary.

Pedaltours acts solely as an agent in securing accommodation and, where applicable, public transport, and shall not be held liable in the event of any failure by any person or company to render transportation, accommodation or other service.

Pedaltours reserves the right to resell tour space without notice if the final payment has not been received by the due date. The right is reserved to decline, to accept or retain at any time any participant in any tour. All tours operate with a minimum of four participants (minimum of six for Vietnam). We reserve the right to cancel tours if the minimum number is not achieved.

In any adventure activity, there is an element of risk involved. Risks in undertaking this activity include traffic, accidents, etc.

The staff and management of Pedaltours take all practicable steps to identify and minimise potential dangers. However, you must follow our instructions and obey the road rules at all times. In particular, make yourself familiar with the bike's brakes. Adults accompanying any person under the age of 18 must ensure that the underage person follows our instructions at all times. You must release or indemnify Pedaltours and our staff against any liability we incur to anyone else, resulting from your failure to follow our instructions or the failure of any person accompanying you under the age of 18 to follow our instructions.

We reserve the right to withdraw any person who in our opinion is likely to endanger themselves or others. We also reserve the right to cancel the day's cycling if we become concerned for any reason for your safety or that of any other person.

Accommodation is based on twin share or double rooms. Single accommodation is available on payment of a surcharge. If you wish to share a room, we will assist you to find a room-mate of the same gender. If we are unable to find you a roommate, you will have to pay the single surcharge to stay on the tour.

We strongly recommend that all cyclists before undertaking this activity have full insurance covering any injury they might suffer, including medical treatment cover, for damage or loss of personal belongings while on a ride or tour. It is also recommended that this insurance cover you in the event of cancellation of your trip. Evacuation insurance is compulsory in Vietnam.

To the extent permitted by law, all our liability for disruption to travel plans or mental injury is excluded. This exclusion is subject to any rights or remedies you may have under the New Zealand Consumer Guarantees Act 1993. Clients are required to take reasonable care of their belongings.

Please list on booking form any medical conditions or other information we need to know to include you safely in this activity. For example: asthma, allergies, heart conditions, epilepsy or pregnancy. You are entitled to access any information we hold about you or to request its correction at any time.


If for any reason it is necessary to cancel a reservation, the following will apply: Cancellations more than six weeks before trip departure, loss of 50% of the deposit. Cancellations between three and six weeks before trip departure: loss of deposit. Cancellations within three weeks of departure will result in forfeiture of full payment. Different cancellation terms may apply to custom tours. Contact us for details.

You can transfer your payment from one trip to another up to six weeks before trip departure for a transfer fee of NZ$50 per person, after which our cancellation policy applies.

There will be no refunds once a tour has commenced. We strongly recommend you take out travel, accident, medical, baggage and cancellation insurance. Medical Evacuation insurance is compulsory in Vietnam. We advise against discounted airfares that carry restrictions.

Medical treatment as a result of an accident within New Zealand is partially covered by New Zealand's Accident Compensation scheme but some hospital costs must be met by participant.

Terms & Conditions - for renting

We will do everything to make sure your rental experience is a success and that you will have a great time. In order to ensure that you know exactly what our (and your) responsibilities are, please read the following terms and conditions.

1. Use of the bicycle

The renter accepts the bicycle in good condition, and commits himself/herself to return the bike in equally good condition, and to ride the bike respecting the rules and obligations outlined in New Zealand’s laws, as well as committing himself/herself:

1. Not to adjust or manipulate the mechanical parts of the bicycle.

2. To park the bike in a manner that is safe for pedestrians and in a place where theft is minimized (e.g. no dark alleys).

3. To return the bike to Pedaltours at the time and date indicated on the contract. A late return will be charged according to extra time the bicycle was used .

4. To be responsible for any loss or damage to the equipment which, at all times, remains the exclusive property of Pedaltours. In case the equipment is lost, destroyed or damaged beyond repair in the judgement of Pedaltours, the renter agrees to pay Pedaltours the value to replace the equipment. The replacement charge will be determined by Pedaltours and charged at the time of the rental.

2. Charges for use / Insurance

We recommend that you are adequately insured. We cannot be responsible for your own illness or injury or for damage or loss of your personal belongings while on a ride or tour. It is also recommended that this insurance cover you in the event of cancellation of your trip.

The renter agrees to pay for the rental of the bike and any additional fee that is applicable for any mistreatment of the bicycle. In case a part of the bicycle is broken because of mistreatment, lost or stolen, the following additional fees will be charged:

-Stolen or completely damaged bike (when the bike can no longer be ridden) the charge will be the official price of a new replacement

-Brake levers $100 €

-Chain $25 €

-Damaged brake pads $20 €

-Damaged front or rear disc $45 €

-Damaged tyre $35 €

-Damaged rear derailleur $45 €

-Damaged front derailleur $20 €

-Damaged pedal $20 €

-Damaged carrier $35 €

-Damaged front or rear wheel $50 €

*Price list includes necessary work to change damaged/broken parts and GST.

3. Repairs and maintenance

In case of a breakdown, don’t abandon the bicycle. You should contact us immediately to arrange for the exchange of a bicycle of equivalent or superior quality. All repairs needed as a result of the use of the equipment including all parts shall be paid by the renter.

4. Accidents and release of liability

The client agrees that he/she will release Pedaltours from any and all responsibility or liability for injuries or damages to the user of the equipment listed on this form or to any other person.

The client accepts for full responsibility for the care of this equipment and thereby agrees to freely and expressly assume and accept any risks and all injury to the user of this equipment while bicycling.

5. Cancellation Policy

In the cases of cancellation, credit/refund will be available to costumers when cancellation is made via email or telephone at least 2 days prior to the scheduled rental. For cancellations made in less than 2 days prior to the scheduled rental no refund is possible.

Confirmation of Acceptance

By renting a bike from Pedaltours, you are acknowledging that you have read our terms and conditions and that you agree to be bound by them.

In the event that the participant is under the age of consent (18 years of age), then I hereby certify that I am the parent or guardian the minor, and do hereby give my consent without reservation to the foregoing on behalf of this individual.
